Bespoke Staging Ltd — Terms & Conditions

These Terms & Conditions apply to all services provided by Bespoke Staging Ltd, including property staging, furniture hire, décor hire, wedding and event styling, children’s party packages, bouncy castle hire, balloons, accessories, and any related delivery, installation, styling, collection, or bespoke services.

By accepting a quotation, confirming a booking, paying a deposit, signing an agreement, or instructing us to proceed, the client agrees to these Terms & Conditions. Full project-specific terms may also be included within your proposal, invoice, booking confirmation, or signed agreement.

1. Bookings & Deposits

A booking is only confirmed once the required deposit or payment has been received and accepted by Bespoke Staging Ltd.

A 50% non-refundable booking deposit may be required to secure your date, hire items, stock, styling time, staff, transport, installation schedule, or preparation work. Because we reserve stock and may turn away other bookings once your date is secured, deposits are non-refundable.

Any changes, additional items, extra guests, extended hire, bespoke requests, personalised items, or additional services requested after booking may be subject to availability and additional charges.

2. Payments

Payment terms will be confirmed in your quotation, invoice, proposal, or agreement.

Final balances must be paid by the agreed due date. Late or unpaid balances may result in cancellation, postponement, removal of reserved items, refusal to install, or changes to the agreed service without liability to Bespoke Staging Ltd.

For bookings made close to the event, party, installation, or staging date, full payment may be required at the time of booking.

3. Cancellations

All cancellations must be made in writing.

Booking deposits are non-refundable. Where a cancellation is made after work has begun, stock has been reserved, staff have been allocated, design work has started, bespoke items have been ordered, or resources have been committed, the client may still be liable for costs already incurred.

For events, parties, and hire bookings cancelled close to the agreed date, the remaining balance may still be payable where preparation, staffing, stock reservation, transport, or installation time has already been allocated.

Bespoke, personalised, customised, printed, ordered-in, themed, or specially sourced items are non-refundable once confirmed or purchased.

4. Consumer Cancellation Rights

Where applicable, consumers booking remotely may have a legal right to cancel within 14 days.

By booking a date, approving design work, reserving stock, requesting personalised items, or asking Bespoke Staging Ltd to begin work within this period, the client agrees that work may begin immediately. If work has started, items have been reserved, or costs have been incurred, cancellation charges may apply.

5. Hire Periods, Extensions & Collections

Hire periods will be stated in the quotation, invoice, proposal, or agreement.

Property staging hire is normally provided for the agreed staging period. Wedding, event, party, décor, and furniture hire is normally provided for the agreed event or party date unless otherwise agreed in writing.

Any extension must be agreed in advance and may incur additional charges. If items are not available for collection at the agreed time due to access issues, venue restrictions, client delay, venue closure, missing items, or failed access, additional hire, staffing, transport, storage, or collection fees may apply.

6. Access, Parking & Site Conditions

The client is responsible for ensuring clear and safe access for surveys, delivery, installation, styling, maintenance, and collection.

The client must provide accurate information regarding venue/property access, parking, loading areas, stairs, lifts, room location, collection times, venue rules, setup restrictions, and any other information that may affect the service.

The property, venue, or party area must be clean, dry, safe, level, accessible, and free from ongoing building works or hazards at the time of installation. Bespoke Staging Ltd reserves the right to refuse or adapt installation where conditions are unsafe, unsuitable, wet, unstable, overcrowded, incomplete, or likely to damage company property.

Failed access, waiting time, restricted loading, unsuitable conditions, parking issues, long carry distances, stairs, changes to setup location, or additional labour requirements may incur extra charges.

7. Ownership & Care of Hired Items

All hired items remain the property of Bespoke Staging Ltd at all times.

Hired items must not be moved, altered, misused, removed from the venue or property, used outdoors unless agreed, attached to unsuitable surfaces, stood on, overloaded, sold, lent, sub-hired, or handled in a way that may cause damage.

The client is responsible for all hired items from delivery until collection by Bespoke Staging Ltd.

8. Damage, Loss & Replacement Charges

The client is responsible for any loss, theft, breakage, staining, water damage, wax damage, burn marks, missing parts, damaged florals, damaged furniture, damaged props, damaged fabrics, or damage beyond fair wear and tear.

Replacement or repair charges may include the full replacement cost of the item, sourcing, delivery, administration, repair, cleaning, and any loss of future hire income where applicable.

9. Safety, Children & Play Equipment

The client is responsible for ensuring the space is safe and suitable for the agreed services and that any required permissions are in place.

For children’s parties, children must be supervised by a responsible adult at all times. Bespoke Staging Ltd does not provide childcare or child supervision unless expressly agreed in writing.

Where bouncy castles or play equipment are provided, they must be used safely and in line with any instructions provided. Shoes, food, drinks, face paint, sharp objects, toys, pets, confetti, glitter, and rough play must not be allowed on bouncy castles or play equipment. Bespoke Staging Ltd may refuse setup or remove equipment where space, weather, ground conditions, access, or supervision arrangements are unsafe.

10. Candles, Food, Drink & Decorations

Candles, open flames, wax products, food, drink, confetti, cake, floral water, dye, glitter, face paint, or similar materials must not be used near Bespoke Staging Ltd property unless agreed in writing.

The client is responsible for ensuring that décor, signage, backdrops, balloons, furniture, floral installations, props, or styling items are not moved, damaged, or interfered with by guests, contractors, children, pets, or venue staff.

11. Substitutions & Availability

All items are subject to availability. Bespoke Staging Ltd reserves the right to substitute items where necessary due to stock availability, damage, supplier issues, safety concerns, or circumstances outside our reasonable control. Any substitute item will be selected to remain as close as reasonably possible to the agreed style, theme, or purpose.

12. Photography & Marketing

Bespoke Staging Ltd may photograph completed work for portfolio, website, social media, advertising, and marketing purposes, unless otherwise agreed in writing.

Reasonable care will be taken to avoid displaying sensitive personal information.

13. Liability

Bespoke Staging Ltd will take reasonable care in providing its services. However, we are not liable for indirect, consequential, or financial losses, including loss of sale, loss of profit, loss of opportunity, venue issues, third-party delays, or circumstances outside our reasonable control.

Nothing in these Terms & Conditions excludes liability for death or personal injury caused by negligence where the law does not allow such exclusion.

14. Events Outside Our Control

Bespoke Staging Ltd shall not be responsible for delays, changes, amendments, or failure to provide services caused by events outside our reasonable control. This may include illness, accident, extreme weather, supplier failure, transport issues, venue access issues, unsafe conditions, equipment failure, government restrictions, emergencies, or force majeure events.

Where Bespoke Staging Ltd is unable to provide agreed services, the client will receive a refund for services not provided. We are not responsible for indirect or consequential losses.

15. Data Protection

Client information will be processed in accordance with UK data protection legislation and used only for the purpose of managing enquiries, bookings, payments, agreements, service delivery, and client communication.

16. Governing Law

These Terms & Conditions are governed by the laws of Northern Ireland.
